Keeping your certificates in date

STCW certificates, a seafarer medical and a passport laid out on a chart table

An out-of-date certificate can cost you a job on the day you are due to join. Most crew find out when a captain asks for copies. A few dates, kept in one place, prevent that.

What expires

  • Seafarer medical. A UK ENG1 is valid for up to two years (one year if you are under 18). A doctor can issue a shorter one.
  • STCW safety training. Personal Survival Techniques and Fire Prevention and Fire Fighting must be updated every five years. So must Advanced Fire Fighting and Proficiency in Survival Craft and Rescue Boats if you hold them. Fire fighting has to be refreshed ashore.
  • Certificates of competency are revalidated every five years, with their own conditions.
  • Passport and visas. Many countries want six months left on a passport. Visas each have their own dates.

Rules differ by flag state and they change. Check with the authority that issued your certificate.

Let Crew HQ remember

  1. Open your documents page and add each certificate with its expiry date and a scan or photo.
  2. Crew HQ emails you about three months before one runs out, and tells you if one already has.
  3. When you renew, replace the file and the date.

Storing documents is part of Premium, or comes free with a seat on your captain's crew list.

Who sees them

You. A captain whose crew list you have joined. Employers with Professional Membership who open your full profile. You can also choose to show the list of what you hold, not the files, on your Crew HQ Me link.

Booking a refresher

The training school directory shows schools on a map, and the schools nearest to your own pin appear beside your profile. Book early: refresher weeks before the season fill up.

Questions people ask

Where do I keep my certificates, and who sees them?

On your documents page, each with its expiry date. Crew HQ emails you about three months before one runs out. Storing documents is part of Premium, or comes with a seat on a captain's crew list. They are seen by you, by a captain whose crew list you have joined, and by employers with Professional Membership who open your full profile.

Can I keep track of my own crew's certificates?

Yes, with My Crew. You add each crew member by email and they choose to accept. You then see, on one page, the certificates and documents they store on Crew HQ: what is valid, what expires in the next 90 days and what has run out. It is priced per crew member, and the page shows an example list before you pay anything.

My company is already in the directory. How do I take it over?

Open your page in the directory and use the claim link on it, or write to [email protected] from an address at your company. Claiming is free.

How do training schools appear on Crew HQ?

In the training school directory, with a pin on the map so that crew see the schools near them. A basic listing is free and shows the names of your courses. A full listing (£45 a year or £6 a month) shows each course on its own page with dates, prices and places.

How do I add our courses and dates?

Email them to [email protected] from the address of the account that owns your listing: paste the list, forward your schedule or attach the PDF. Crew HQ reads the courses, dates, prices, duration and prerequisites and puts them on your listing, then replies with what it added. Send it again whenever the dates change.
