Your PDF CV Is Out Of Date The Moment You Send It

You finish a season, add a new certificate, then find the CV sitting in a recruiter's inbox still says you are a second stew on a 40 metre and your ENG1 expired in the spring.

An attachment is a snapshot, not a record

A PDF is a photograph of your career on the day you exported it. Every yard period, every mile, every refresher course makes it a little less true. The copy you sent in January is still the copy that agent has in March, and there is no way for them to know what has changed since.

That matters most at the moment someone is actually looking. A captain filling a last minute gap opens what is already in the inbox. If that file shows an old position, an old phone number or a certificate that has since lapsed, you look less current than you are, and nobody is going to call you to check.

One link instead of a hundred copies

Every Crew HQ member has a private link and QR code to their own profile and CV at https://www.crewhq.me/my-profile/share. Anyone you give it to sees your profile and can download your CV without logging in and without a membership. It is free.

Because the link points at your profile rather than at a file, whoever you sent it to last season sees what is there today. Crew HQ also builds a designed PDF CV from your profile. On that page you download it, look at it first, and choose whether your link hands out that CV or the file you uploaded yourself. The same page prints business cards with the QR code on them, which is a sensible thing to have in your pocket on the dock.

Keeping what sits behind the link current

A link is only as good as the profile under it, and updating a profile is the job everyone puts off. The quickest route is email. Send your CV as a PDF or Word document, under 5 MB, to [email protected] from the email address of your Crew HQ account. Crew HQ puts that CV on your profile in place of the old one, fills in the details that are missing from it while keeping what you had already written, and emails you back a button that signs you in with no password.

That works on a phone, in a crew mess, and when you have long since forgotten your password. Filling in details from a CV is free the first time; after that it is part of Premium and Professional. The new CV file is always saved. If you have no account yet, emailing the same address gets you a free crew profile built from your CV, and it stays hidden until you press the button in the email that comes back.

Certificates belong in the same place. Store them with their expiry dates at https://www.crewhq.me/documents and Crew HQ emails a reminder about three months before one runs out, and tells you when a stored document is already out of date.

How to do it

Send your latest CV to [email protected] from your own account address. When the sign in button arrives, open https://www.crewhq.me/my-profile/share, check the designed PDF, pick which CV your link hands out, and use that link from then on instead of attaching a file.

If you are not a member yet, register free at https://www.crewhq.me/user/register, or simply email the CV and let the profile be built for you.
